Privacy, Consent & Safety

What we collect

We collect contact details, selected support categories and optional brief information needed to process an inquiry. For children, use age or grade ranges rather than dates of birth. Do not submit SINs, immigration documents, medical or psychological records, or detailed clinical histories.

How information is used

Information supports inquiry review, program registration, follow-up and agreed resource navigation. Contacting us does not guarantee an appointment or referral. We do not promise a response time.

Access and sharing

Records are stored securely server-side. Administrators can review inquiries; authorized volunteers can access only assigned inquiries. Access and changes are logged. We obtain appropriate consent before sharing necessary information with external providers. You can withdraw sharing consent by contacting us with your reference number.

Retention

Closed inquiries are retained for 24 months after closure, then deleted, subject to applicable legal obligations. Audit records retain administrative actions without intake text. Active inquiries remain while support is ongoing; you may request access, correction or deletion.

Parents and service boundaries

A parent or authorized guardian must consent when submitting a child-related inquiry. These programs provide educational guidance and resource navigation, not diagnosis, psychotherapy, emergency treatment, immigration representation or legal representation. We do not promise clinical or legal confidentiality.

Privacy inquiries

Contact info@diamondstem.ca with your inquiry reference number. Do not include sensitive records in email. This notice is intended to follow Canadian privacy principles; applicable legal requirements and operational safeguards require review before production intake is launched.
